I Built AI Tools for a Rural Clinic — Here's What Happened

The situation

We built a simple tablet-based intake form that patients complete in the waiting room. AI reads the responses, extracts structured data (demographics, medications, allergies, chief complaint), and pushes it directly into their EHR — no transcription needed.
Result: Intake transcription dropped from 90 min/day to about 10 min/day (just spot-checking for accuracy).

Smart Scheduling Assistant
Patients can now book, reschedule, or cancel appointments via text message or a simple web link. The AI handles scheduling conflicts, sends reminders, and manages the waitlist. It still flags complex cases (like multi-provider visits) for human review.
Result: Freed up 25+ hours/week of phone time. No-show rate dropped from 18% to 7% thanks to automated text reminders.

AI-Assisted Clinical Notes
Providers now dictate notes during or after patient visits. AI transcribes in real-time, structures the note into SOAP format, and pre-fills coding suggestions. The provider reviews and signs off — usually in under 2 minutes.

What didn't go perfectly
I want to be honest about this. Not everything was smooth:

→The scheduling AI occasionally double-booked during the first week. We had a bug in how it handled provider lunch breaks. Fixed it within 48 hours, but it caused some frustration.
